Conference Proceedings Publication Policies

1. Overview

This page outlines the publication policies, ethical standards, and procedural requirements governing all conference proceedings published by Darcy & Roy Press. These policies are designed to ensure the integrity, transparency, and scholarly quality of all content published in our proceedings series.

All conference proceedings published by Darcy & Roy Press are subject to established editorial, peer review, and ethical standards that govern responsible research publication. We adhere to the principles and guidelines of the Committee on Publication Ethics (COPE), including the COPE Core Practices and the Principles of Transparency and Best Practice in Scholarly Publishing.

Conformance to standards of ethical behavior is expected of all parties involved: Authors, Conference Organizers, Editors, Reviewers, and the Publisher.


2. Publication Standards

2.1 Editorial Oversight

All manuscripts submitted for publication in conference proceedings undergo editorial evaluation and peer review organized by the conference editors and volume editors. Editorial decision-makers bear ultimate responsibility for the decision to accept or reject a manuscript for publication.

2.2 Quality Assessment

Manuscripts are evaluated based on the following criteria:

  • Academic quality and scholarly relevance

  • Originality and contribution to the field

  • Clarity and coherence of presentation

  • Compliance with ethical and publishing standards

2.3 Publication Requirements

For a paper to be included in the conference proceedings, the following conditions must be met:

  • Submission of the final camera-ready manuscript by the specified deadline

  • Completion of the required copyright transfer or publication agreement

  • Payment of the appropriate registration fees

  • At least one author present the paper at the conference either online or in person


3. Requirements for Conference Organizers

Conference organizers bear significant responsibility in ensuring the integrity and quality of the publication process.

3.1 Organizational Responsibilities

Organizers are responsible for:

  • Establishing the conference's title, topic, and scope

  • Securing keynote speakers aligned with the conference theme

  • Clearly defining contractual relationships among all involved stakeholders

  • Upholding the confidentiality of all research-related information

  • Ensuring adherence to intellectual property rights

3.2 Editorial Responsibilities

All persons with editorial responsibility for conference proceedings content are expected to:

  • Make decisions to accept or reject manuscripts based solely on the merits of the work and relevance to the conference

  • Agree to be publicly named as the editorial decision-maker(s) on publication

  • Be aware of their own potential conflicts of interest and recuse themselves from handling manuscripts where conflicts exist

  • Ensure that the peer review process is conducted by appropriately qualified individuals free from conflicts of interest

  • Monitor and seek justification for changes in authorship, particularly cases where new authors are added

  • Screen submissions for potentially fabricated content

  • Maintain detailed records of editorial communications, reviewer reports, and editorial decisions

  • Alert the publisher if paper mill activity or any other type of misconduct is suspected

3.3 Confidentiality

Editors and editorial staff will not disclose any information about a submitted manuscript to anyone other than the corresponding author and reviewers. Editors must not use unpublished information disclosed in a submitted manuscript for their own research purposes without the authors' explicit written consent.

3.4 Fairness and Impartiality

Both conference chairs and session organizers must evaluate submitted manuscripts for their intellectual content without regard to race, gender, sexual orientation, religious belief, or ethnic origin.

3.5 Submission to the Publisher

Organizers are required to submit the complete set of accepted and finalized proceedings files to the publisher in accordance with the specified technical requirements and deadlines. Only complete proceedings volumes that meet all quality and formatting standards will be published.


4. Peer Review Standards

4.1 Peer Review Process

All manuscripts published in conference proceedings must undergo a rigorous peer review process. The peer review process is administered by the conference editors and Technical Program Committee.

4.2 Review Type

Unless otherwise specified, the conference employs a double-blind peer review process. Under this system:

  • Reviewers do not know the authors' identities

  • Authors do not know the reviewers' identities

  • Authors must ensure their anonymity in submitted papers

  • Authors' names should not be included in the submitted PDF

  • Prior work should be referenced in the third person wherever possible

Papers that explicitly or implicitly reveal the authors' identities may be rejected.

4.3 Reviewer Qualifications and Conduct

Peer reviewers of conference proceedings content should:

  • Be appropriately qualified in the subject matter of the manuscript

  • Recuse themselves from reviewing if they have a conflict of interest

  • Monitor and flag any changes in authorship to the person with editorial responsibility

  • Provide unbiased and constructive comments aimed at improving the work

4.4 Review Criteria

Reviews are conducted to assess:

  • Originality

  • Technical quality and depth

  • Relevance to conference themes

  • Clarity of presentation

  • Significance of contribution

4.5 Peer Review Statement

Where available, a formal peer review statement is published for each proceedings volume as part of the permanent publication record. This statement may include information on the number of submissions received, the number of manuscripts accepted, and the resulting acceptance rate.


5. Academic Integrity and Misconduct

5.1 Commitment to Integrity

Darcy & Roy Press is committed to protecting the integrity of the scholarly record. All published articles are subject to established ethical standards that govern responsible research publication. The principles of research integrity—honesty, transparency, accountability, care, and respect—underpin all our editorial policies.

5.2 Originality and Plagiarism

All submissions must be original and unpublished work. Authors must ensure that:

  • The submitted work constitutes an original contribution

  • It has not been previously published elsewhere

  • It is not under review or submitted simultaneously to another conference or publication

Plagiarism in all its forms constitutes unethical publishing behavior and is unacceptable. Plagiarism takes many forms, from passing off another's paper as the author's own, to copying or paraphrasing substantial parts of another's work without attribution.

5.3 Plagiarism Screening

All submissions undergo mandatory plagiarism screening using similarity detection software. Papers with a similarity index exceeding the established threshold are liable to be rejected without further review. The Program Committee reserves the right to desk-reject a paper if it contains elements suspected to be plagiarized.

5.4 Duplicate and Concurrent Submissions

Submitting the same manuscript to multiple conferences or journals simultaneously is considered unethical and is strictly prohibited. Under no circumstances shall a paper (or substantially the same paper) be simultaneously submitted to two or more publications, or to a second publication while still under review elsewhere. Failure to adhere to this policy is cause for rejection of the manuscript.

5.5 Authorship

Anyone listed as an author on a manuscript submission must meet all the following criteria:

  • They have made substantial intellectual contributions to some components of the original work described in the manuscript

  • They have participated in drafting and/or revision of the manuscript

  • They are aware the manuscript has been submitted for publication

  • They agree to be held accountable for any issues relating to the correctness or integrity of the work

Guest authorship, ghost authorship, or undisclosed contributors are considered misconduct.

Adding or removing authors after paper acceptance is not permitted and constitutes a breach of publishing ethics.

5.6 Data Fabrication and Falsification

Data fabrication (inventing data) and data falsification (manipulating or changing data to achieve desired results) constitute serious ethical violations and are unacceptable. Authors must present an objective discussion of the significance of their research work as well as sufficient detail and references to permit others to follow their empirical work.

5.7 Conflicts of Interest

All parties involved in the publication process must disclose any potential conflicts of interest. Editors and reviewers must recuse themselves from handling manuscripts where conflicts of interest exist. Conflicts may arise from competitive, collaborative, or other relationships with any of the authors.

5.8 Use of Generative AI

The use of artificial intelligence (AI)-generated text in an article must be disclosed in the acknowledgements section. The sections of the paper that use AI-generated text must include a citation to the AI system used. AI tools should not be listed as authors, as authorship requires substantial intellectual contribution and accountability.

5.9 Ethics Approval

For studies involving human participants, animals, or sensitive data, authors are required to include a clear statement of ethics committee approval or ethical exemption, where applicable. Authors are responsible for the overall ethical conduct of their research and must be prepared to provide documentary evidence of compliance.

5.10 Consequences of Misconduct

If misconduct is confirmed, appropriate actions will be taken, which may include:

  • Rejection of the manuscript

  • Retraction of published papers

  • Notification of the authors' institutions

  • Banning the authors from future participation in conferences or submissions

  • Publication of the authors' names, the title of the article, and details of the misconduct

All verified cases of misconduct are handled in accordance with COPE guidelines.


6. Instructions for Conference Authors

6.1 Submission Policy

Important: As a publisher of conference proceedings, Darcy & Roy Press does not accept direct submissions from individual authors. All manuscripts must be submitted through the official conference submission system by the conference organizers. The publisher only receives and processes the complete proceedings volume as submitted by the conference organizers after the peer review process has been completed.

Authors should direct all inquiries regarding submission, review status, and acceptance to the conference organizers, not to the publisher.

6.2 Author Obligations

By submitting a manuscript to a conference whose proceedings are published by Darcy & Roy Press, authors agree to:

Originality and Integrity

  • Ensure that the manuscript is original work by the listed authors

  • Confirm that it has not been previously published and is not under consideration elsewhere

  • Take responsibility for the correctness and integrity of the work

Authorship

  • Ensure that all listed authors meet the authorship criteria outlined in Section 5.5

  • Obtain consent from all co-authors prior to submission

  • Not add or remove authors after acceptance

Disclosure

  • Disclose any conflicts of interest

  • Disclose the use of AI-generated content in the acknowledgements section

  • Provide ethics approval documentation where required

Registration and Presentation

  • Ensure that at least one author registers for the conference

  • Ensure that the paper is presented at the conference

  • Understand that failure to present will result in non-publication

Copyright

  • Complete the required copyright transfer or publication agreement upon acceptance

  • Grant the publisher the rights necessary to publish and distribute the work

6.3 Formatting Requirements

All manuscripts must be prepared in accordance with the conference-specific formatting guidelines and templates. Authors should consult the conference website for detailed formatting instructions, including:

  • Page limits

  • Template requirements

  • File format specifications

  • Submission deadlines

6.4 Camera-Ready Submission

Upon acceptance, authors must submit their final camera-ready manuscript by the specified deadline, incorporating reviewer comments where required. The final submission must be complete, formatted correctly, and accompanied by all required ancillary materials.


7. Publisher Policies

7.1 Ethical Framework

Darcy & Roy Press adheres to internationally recognized ethical standards and follows the guidelines of the Committee on Publication Ethics (COPE). Publisher-level policies and detailed guidance are available on our website.

7.2 Copyright and Licensing

Upon acceptance, authors will be required to complete a copyright transfer or publication license agreement as specified by the publisher. The specific terms will be communicated to authors following acceptance.

7.3 Archiving and Distribution

All published proceedings are archived and made available through the publisher's digital platform and, where applicable, submitted for inclusion in relevant academic databases and indexing services, subject to meeting the respective scope and quality requirements.

7.4 Corrections and Retractions

Darcy & Roy Press is committed to maintaining the integrity of the scholarly record. If errors are identified in published content, appropriate corrections will be issued. In cases of confirmed misconduct, retractions will be published in accordance with COPE guidelines.
